Policy Overview

Checkride Ready's data retention policies are designed to balance user privacy with aviation safety requirements and federal regulatory compliance. As an aviation training platform, we are subject to FAA regulations that mandate specific record-keeping requirements.

Role-Specific Data Retention

Applicant Records

Retention Period: 7 Years

From last training activity or checkride

Data Includes:

  • • Medical certificate information
  • • Flight hours and experience logs

Instructor (CFI) Records

Retention Period: 10 Years

From last instructional activity

Data Includes:

  • • Applicant endorsements issued
  • • Training logs and lesson records
  • • Checkride recommendations
  • • Safety reports and incidents
  • • Instructor certificate information

Examiner (DPE) Records

Retention Period: Indefinite

Permanent FAA requirement

Data Includes:

  • • All checkride examination records
  • • Pass/fail statistics and reports
  • • Examination techniques and standards
  • • Appeals and review processes
  • • DPE designation and authority records

Organization Records

Retention Period: 10 Years

From end of business relationship

Data Includes:

  • • Applicant training records
  • • Instructor certifications and assignments
  • • Aircraft maintenance logs
  • • Safety incidents and reports
  • • Operating certificates and compliance

What Happens After Account Deactivation

Immediate Actions

  • • Account access is suspended
  • • Login credentials are deactivated
  • • Active notifications are stopped
  • • Any upcoming appointments or unspent booking credits must be resolved before deactivation is allowed

Data Anonymization (After the 90-Day Reactivation Window)

  • • Your name and account email/username are anonymized
  • • Emergency contact information is removed
  • • This only happens if the account is not reactivated within 90 days — see below

Regulatory Data Retention (Ongoing)

  • • Training records maintained per FAA requirements
  • • Safety data preserved for pattern analysis
  • • Checkride results kept for statistical purposes
  • • Legal compliance documentation retained
