Invitation & Verification Guide

Complete flow from invitation to verified account

Step 1: Send Invitation

An existing instructor, examiner, or admin can invite new users to join Checkride Ready.

How to send:

  1. Go to your dashboard and click "Send Invitation"
  2. Enter the email address and select role (Instructor/Examiner/Applicant)
  3. Add an optional personal message
  4. Click "Send Invitation"

📧 What happens: The recipient receives an email with a unique invitation code

Step 2: Register Account

The invited user receives an email and uses the invitation code to register.

How to register:

  1. Check your email for the invitation
  2. Click the registration link or copy the invitation code
  3. Go to the registration page for your role:
  4. Fill out your information
  5. Enter the invitation code in the "Invitation Code" field
  6. Complete registration

✅ What happens: Your account is created and the invitation is automatically accepted

Step 3: Upload Certificate

For Instructors & Examiners only: Upload your FAA certificate for verification.

What to upload:

  • Instructors: CFI Certificate Card (photo or scan)
  • Examiners: FAA Authorization Letter

How to upload:

  1. After registration, go to Upload Certificate
  2. Select your certificate file (PDF, JPEG, or PNG)
  3. Click "Submit for Verification"

⏳ What happens: Your certificate is queued for admin review (Status: Under Review)

Step 4: Admin Approval

An administrator reviews your certificate and approves or rejects it.

Admin reviews:

  • Certificate number matches registration
  • Expiration date is current
  • Document is clearly readable
  • Information is valid

Admins access:

  1. Go to Admin Verification Queue
  2. Review pending certificates
  3. Click "View Document" to see the certificate
  4. Click "Approve" or "Reject" with reason

⏰ Timeline: Reviews typically completed within 24-48 hours

Step 5: Verified & Ready!

Once approved, you can use all features of the platform.

🎉 You can now:

  • Instructors: Accept applicants and provide training
  • Examiners: Conduct checkrides and manage appointments
  • Applicants: Book checkrides with verified examiners
